Data security is the first concern most owners raise about AI, especially in family businesses. It is a fair concern, and there are good answers to it. The key is to match the AI setup to how sensitive the data is.
The real risk today
In many companies the biggest AI risk is already happening: staff pasting documents into free consumer AI apps to save time. An approved, well-governed AI setup is usually safer than doing nothing, because it gives people a sanctioned alternative.
Enterprise AI terms
Business versions of AI tools come with enterprise terms that differ from free consumer apps. Before connecting company data, have your IT and legal teams review how each provider stores and processes data, and whether it may be used to train models.
For companies already on Microsoft 365, it is often simplest to start with AI tools covered by that existing agreement, which your IT team already manages.
Keeping data in the UAE
The UAE's Federal Personal Data Protection Law (PDPL) sets rules on processing personal data, including restrictions on transferring it abroad. Free zones such as DIFC and ADGM have their own regimes, and some sectors, such as healthcare and banking, have stricter rules. Major cloud providers offer UAE data centre regions, so documents, databases and logs can be stored in the country. Leading AI models such as Claude can be reached from the UAE region, but processing may take place outside the UAE. Where data must not leave the UAE at all, an in-country model is the answer. Always have a UAE lawyer confirm what applies to you.
Private and local AI
For the most sensitive information, such as payroll, family financials or board papers, you can run open-source models like Llama, Mistral or Qwen on servers you control. Options range from rented private GPU servers in the UAE to hardware in your own data centre. Nothing leaves your environment. The trade-off is that these models are slightly less capable than the leading cloud models and need technical upkeep.
A practical approach
- Classify your data into everyday, internal and highly sensitive.
- Use approved enterprise AI for everyday operations such as customer enquiries and order processing, after IT and legal review its terms.
- Use private AI only where the data demands it.
- Publish an AI usage policy and give staff approved tools.
- Involve IT and legal from the first conversation.
